Privacy Policy
Effective October 27, 2026
This Privacy Policy explains how Port Technology Services LLC ("we", "us") collects, uses and shares information through DepotPro, our depot and equipment management platform at depotpro.com and app.depotpro.com (the "Service").
Our role
DepotPro is used by businesses ("Customers"), such as depot operators and equipment providers. Information that Customers and their users enter into the Service belongs to that Customer, and we process it on the Customer's behalf and under our agreement with them. If you have a question about information a Customer recorded about you, please contact that Customer. We are responsible for the information we collect to run the Service itself, such as user accounts, support requests and system logs.
Information we collect
- Account information: name, email address, profile picture and organization for people who sign in to DepotPro. Sign-in is provided by our identity provider.
- Transaction information: records that Customers create in the Service, such as equipment check-ins and check-outs, inspections, repairs and bookings. These records may include the name of the company involved, photos of equipment, and a signature from the person completing the transaction.
- Contact details you provide: an email address or mobile number that you choose to give so we can send you documents or notifications about a transaction.
- Communications: messages we send on a Customer's behalf (email and text) and delivery status for those messages, and emails sent to Customer mailboxes that are connected to the Service.
- Technical information: IP address, browser type, and request and error logs collected automatically when you use the Service, used to operate and secure it.
We do not collect precise location data, and we do not use advertising or analytics trackers.
How we use information
- To provide, maintain and support the Service for our Customers
- To send transactional emails and text messages that you or a Customer request
- To secure the Service, prevent fraud and abuse, and troubleshoot problems
- To comply with legal obligations
We do not sell personal information, and we do not use it for advertising.
Text messaging (SMS)
If you give your mobile number and agree to receive texts, we use it only to send the transactional messages you agreed to. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. See our SMS Terms.
Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. This excludes the service providers that deliver our messages, which may only use the information to provide that service.
How we share information
- Service providers that host or operate parts of the Service under contracts that limit their use of the data: Microsoft Azure (hosting, database and file storage, in United States data centers), Okta/Auth0 (sign-in), Twilio (text messages) and Twilio SendGrid (email), Microsoft 365 (connected mailboxes), Better Stack (system logs and monitoring), and Google Fonts (web fonts, which receive your IP address when pages load).
- Partners a Customer directs us to send data to, such as equipment owners, lessors or chassis pools that receive transaction and repair records.
- Legal reasons: when required by law, or to protect the rights, safety and security of our users and the Service.
- Business transfers: as part of a merger, acquisition or sale of assets, subject to this policy.
Cookies
We use only essential cookies needed to sign you in and keep your session secure. We store your display preference (for example, light or dark mode) in your browser. We do not use advertising or tracking cookies.
Data retention
We keep Customer data for as long as the Customer's account is active, or as the Customer instructs, so they can keep complete records of their transactions. System logs are kept for a limited period for security and troubleshooting. When a Customer's account ends, we delete or return its data under our agreement, except where we must keep it by law.
Security
Data is encrypted in transit (TLS 1.2 or higher) and at rest. Access is limited by role, and Customer data is kept separate by organization. No system is perfectly secure, but we work to protect your information.
Your choices and rights
You can opt out of text messages by replying STOP, and ask us to stop sending you emails at any time. Depending on where you live, you may have the right to access, correct or delete your personal information. For information a Customer recorded, contact the Customer. We will help them respond. For anything else, contact us below.
Children
The Service is for businesses and is not directed to children under 16. We do not knowingly collect their information.
Changes to this policy
We may update this policy. We will post the new version on this page with a new effective date, and notify Customers of material changes.
